Your information in OccasionOS

OccasionOS helps organisers run private celebrations. Contact THNF at [email protected] about the platform or your account. Contact your event organiser about an invitation, RSVP or guest record they created.

What is collected and why

Account details identify organisers and staff and let us authenticate access, send account messages and provide support. Organisers enter event details, guest names, contact details, invitation allowances, RSVP responses and seating plans. Check-in records and audit history support event operations and help investigate errors or misuse.

An organiser may also record optional dietary, allergy, accessibility or other operational requirements. Some of these details are sensitive. Provide only what is necessary; ask the organiser why it is needed and how it will be used before sharing it.

Who controls event information

The organiser decides whom to invite, which information to collect and who on their team may use it. They must explain their purposes, lawful basis and retention arrangements, including the basis for any sensitive information. THNF operates the platform and supports account administration and security. Contact us for the arrangements applicable to your organisation or a managed event.

Access and service providers

Access is limited by account and event permissions. Authorised THNF administrators can administer the platform; managed support access can be granted for an event. Guest links are private access links: share them only with the intended recipient.

The service uses THNF-managed hosting, Cloudflare for web delivery and protection, an email provider for account messages, and security monitoring. These systems process information needed to operate and protect the service. Ask THNF for current provider, hosting-location and international-transfer information for your event.

Cookies and offline devices

Essential cookies maintain login and protect forms. The PWA caches public application assets. On a registered scanner, a downloaded guest manifest and queued check-ins are stored in that browser for offline use. A manifest expiring does not itself erase the local copy: event staff should synchronise pending scans, then use “Clear this device’s offline data” when the device is no longer needed.

Retention and your choices

Retention depends on the organiser’s event needs, account support, applicable record-keeping requirements and backup rotation. Organisers can request exports and deletion through account controls and THNF support. Backup copies may remain until their retention cycle completes. Ask your organiser for their specific schedule.

You can ask about access, correction, export, deletion, restriction or objection to use of your information. Where processing relies on consent, you can ask to withdraw it. Which rights apply depends on the purpose and applicable law. We may need to verify your identity or refer an event request to its organiser. You may also raise concerns with the UK Information Commissioner’s Office or your local regulator.

Registration needs account identifiers and login details; without them we cannot provide an organiser account. Guests do not need an account to respond through their private invitation.
